Privacy Policy

This Privacy Policy describes how Orange Insurance Broker ("Orange", "we") collects, uses, and shares the personal information of those who request registration or attend the Orange Evolution Summit ("the Event") and of those who interact with this website. By submitting your registration request you accept the practices described here.

1. Information we collect

When you fill out the registration form we collect:

  • Identification data: full name, NPN (National Producer Number) of the agent.
  • Contact data: email address and phone number.
  • Affiliation status: whether you declare to be an Orange Insurance Broker agent.
  • Optional comment: any text you choose to include.
  • Technical data: IP address, user agent (browser and operating system), language and timestamp of the request, automatically collected for security and fraud prevention purposes.

We do not collect sensitive data as defined by law (racial origin, religious beliefs, health data, biometric data, etc.). If you provide such data voluntarily in the comment field, we ask that you refrain from doing so.

2. Purposes of processing

We use your information to:

  • Evaluate and approve your request to attend the Event.
  • Send you communications related to the Event (request confirmation, access code, instructions, agenda, and reminders).
  • Manage capacity and Event logistics (VIP areas, networking, access control via QR code).
  • Comply with applicable legal obligations and respond to requests from competent authorities.
  • Prevent fraud and protect the security of the platform.
  • Improve our services through aggregated and non-identifiable analytics.

We do not use your information to send you third-party advertising, nor do we sell it. We do not perform automated profiling with relevant legal effects on you.

3. Legal basis

We process your data based on (a) the execution of the relationship arising from your registration request, (b) your consent when submitting the form, (c) our legitimate interest in managing the Event safely and efficiently, and (d) compliance with legal obligations.

4. With whom we share your information

We share information strictly with:

  • Authorized Orange Insurance Broker personnel who operate the Event (marketing, events, and customer service teams).
  • Technical service providers acting as data processors under confidentiality agreements: SendGrid (transactional email delivery), DigitalOcean (database and application hosting).
  • Authorities when required by legal obligation or court order.

Some of these providers have infrastructure located in the United States. By registering you accept this international data transfer.

5. Retention

We retain your information for the time necessary to fulfill the purposes described:

  • Approved requests: up to 24 months after the Event date, unless a longer legal retention obligation applies.
  • Rejected or pending requests without response: up to 6 months, after which they are deleted or anonymized.
  • Audit and security logs: up to 24 months.

6. Security

We apply reasonable technical and organizational measures to protect your information: TLS encryption in transit, storage in a managed database with automated backups and restricted access, hashing of administrative passwords with argon2, and audit logs of staff actions. No system on the internet is 100% secure; we ask that you also protect yourself from phishing and only share information from trusted devices.

7. Your rights

Depending on the applicable jurisdiction, you may have the right to:

  • Access the information we hold about you.
  • Rectify inaccurate data.
  • Delete your data when no longer necessary.
  • Object to processing or request its limitation.
  • Portability: receive your data in a structured format.
  • Withdraw consent at any time, without affecting the lawfulness of prior processing.

9. Minors

The Event is intended for licensed health insurance professionals. We do not request or knowingly process information from individuals under 18 years of age. If you believe a minor has provided us with data without your consent, please contact us to delete it.

10. Changes to this policy

We may update this policy. The "last updated" date above reflects the current version. If changes are material we will notify you by email before they take effect.
